01/The verdict

An AI documentation EHR plus a 600+ video life-skills content library for Medicaid-funded I/DD provider agencies (day programs, group homes), sold on annual contracts via sales.

Kibu's software is not hard to rebuild. AI notes, ISP goal tracking, eMAR and incident reports are well-understood features, and Therap, SETWorks and Netsmart already sell AI versions. What protects it is the slow, trust-driven buying in I/DD care: about 480 agencies run their Medicaid audit records on it, it has trade-association partnerships (ANCOR Gold Sponsor, The Arc national partner), and it bundles a content library that some states fund as Assistive Technology. That is a real head start, but a funded, domain-savvy challenger could match it in a year or two, and this is not regulatory lock-in.

02/4 moats

~12 mo to cross

Kibu holds client records, ISP goals, eMAR logs and audit history for about 480 provider organizations, and by its own account documentation rollout takes 4 to 6 weeks. Agencies facing Medicaid audits are reluctant to move their records of service mid-year.

To cross it: Offer free data migration and white-glove onboarding, and time pitches to contract renewals. Kibu itself does this, and says more of its customers switch from Therap than from any other platform.

~18 mo to cross

Kibu is an ANCOR Gold Sponsor (over 40 ANCOR members in 18 states use it) and a national partner of The Arc, with Arc chapters, Chimes, Elwyn and UCP as customers. It attended 14 conferences in 2025 and got Good Morning America coverage through Billy Blanks Jr. Buyers in this sector pick software based on what peer agencies use.

To cross it: Spend 1 to 2 years at state and national provider associations, land a few flagship agencies, and turn them into referenceable case studies.

~9 mo to cross

Kibu has 600+ on-demand classes and daily live sessions with real coaches covering fitness, life skills and job readiness. In Pennsylvania (ODP waivers) and Washington (DDA) it is positioned as waiver-fundable Assistive Technology, which means customers may not pay for the content out of their own budgets.

To cross it: Fund a production team and coaches to build a comparable adapted-content library, or license one from groups like Spirit Club, then repeat the state-by-state Assistive Technology positioning.

~6 mo to cross

Kibu is HIPAA compliant, and its documentation templates follow HCBS waiver and state-specific rules across 48 states. It claims SOC 2 'specifications', but it appears to have no completed SOC 2 audit, and it works alongside case management systems rather than holding deep payer or state billing approvals.

To cross it: Get HIPAA controls in place and a SOC 2 Type II report within 6 to 9 months, and hire a former provider compliance lead to encode state rules.

03/The gap

Easy to copy

  • AI speech-to-text notes and auto-generated reports ('Magic Pen') are standard LLM features that Therap, SETWorks and Netsmart's Bells AI already ship.
  • Core EHR screens (attendance, ISP goals, eMAR, incident reports, EVV) are well-defined forms that AI coding tools build quickly.
  • Contact-sales pricing at about $625 a month per subscription leaves room for a cheaper, transparent self-serve rival.
  • Funding is modest, about $5.1M of seed money from Connecticut Innovations, GreyMatter and AJI Capital, so it can't outspend a funded entrant. (A separate $10.5M 'Kibu' seed round belongs to an unrelated deepfake-security company.)

How you'd go after it

  • Go after mid-size agencies that bill many funders across several states, where Kibu admits SETWorks' all-in-one billing, EVV and HR fits better: build Medicaid billing and EVV aggregator integrations first.
  • Sell a cheap, transparent per-DSP AI notes layer that sits on top of Therap and doesn't force a full EHR switch.
  • Go state by state with deep state-specific form packs and relationships with state DD agencies, in states where Kibu is thin.
  • Partner with or license an existing adapted-content library to match Kibu's bundle without producing 600 videos.

04/Build against it?

Only with an edge

Go only if you have real I/DD provider operations experience or trade-association relationships. The buyers are conservative, Therap reports 15,000+ providers, and code alone won't win agencies that pick software through peer referrals.
